Job Summary
King’s College Hospital NHS Foundation Trust is seeking an experienced and highly organised professional to lead medical staffing and rota management within the division. The post holder will work closely with Service Managers, Clinical Leads, and senior stakeholders to ensure safe, compliant, and cost-effective junior doctor rotas, aligned with New Deal and Working Time Directive requirements.
This role supports operational objectives, oversees administrative teams, and contributes to workforce planning, performance monitoring, and service improvement. Responsibilities include managing leave, sickness, locum cover, advising on staffing and rota issues, supporting NHS performance targets, and contributing to service redesign to improve patient flow and acute care pathways.
The post holder will also provide leadership in people and financial management, ensuring effective communication, accurate systems recording, and compliance with Trust policies while promoting high standards of performance, governance, and patient safety.
Main Duties
Medical Staffing & Rota Management
Lead medical staffing within the division alongside Service Managers and Lead Clinicians.
Oversee administrative teams and support Service Managers in delivering operational objectives.
Ensure clinical rotas comply with the Working Time Directive and New Deal requirements.
Advise Service Managers, General Managers, Clinical Directors, and Lead Clinicians on rota and staffing issues.
Oversee sickness, annual leave, and study leave, ensuring accurate recording on relevant systems.
Coordinate cover for staffing gaps and creatively manage resources during peak periods.
Operational Support
Support Service Managers with data analysis to maintain NHS targets, including breach analysis and ambulance offloads.
Contribute to service changes that improve acute patient pathways.
Oversee administrative teams with Operational Team Leaders and Supervisors.
People Management
Lead, coach, and manage staff performance, addressing underperformance and recognising excellence.
Set objectives, conduct appraisals, and identify training and development needs.
Ensure compliance with mandatory and statutory training.
Manage sickness absence, vacancies, exception reporting, and return-to-work processes.
Financial & Staff Activity Management
Ensure locum use is justified and approved.
Advise senior managers on cost-effective rota changes and highlight potential cost increases.
Maintain accurate records of contracts, extensions, and leavers.
Monitor administrative team attendance and compliance with Trust policies.
General Responsibilities
Maintain health, safety, confidentiality, infection control, and professional standards in line with Trust and statutory requirements.
Take responsibility for personal development and contribute to team development.

Person Specification
Essential Knowledge & Skills
Knowledge of effective medical rota management and compliance issues.
Leadership and influencing skills to motivate teams and deliver performance expectations.
Ability to initiate and implement improvements with clinical and administrative colleagues.
Education to degree level or equivalent knowledge, skills, and experience.
Proficiency in computerised recording systems, Word, and Excel.
Strong communication skills to relate to patients and staff at all levels.
Skilled in doctors’ rostering software or equivalent systems.
Knowledge of Junior Doctor’s New Deal and European Working Time Directive regulations.
Prior medical staffing experience, ideally within the NHS or similar provider.
Commitment to high standards of patient care and service delivery.
Desirable
Knowledge of patient administration systems.
Understanding of junior doctor monitoring processes.
Experience in acute hospital environments.
Knowledge of national emergency department KPIs and targets.
