Job Summary
Provide essential support and coordinate activities for the Immunisation and Vaccination service identified as part of the Powys Teaching Health Board (PTHB) Immunisation and Vaccination programme. Working autonomously, the post holder will provide advice and guidance, working with the Service Development Manager to ensure that the Immunisation and Vaccination planning and performance plan and the National Immunisation Framework for Wales is implemented, and any potential improvements are identified to improve patient experience.
Responsible for presenting data to the Service Development Manager reporting day-to-day progress, concerns, incidents, and staffing issues and clearly explain findings and identify improvements, following through with timescales and delivery of improvements.
Main Duties of the Job
Work with the Service Development Manager and Clinical Leads to implement plans targeting areas with low vaccination uptake, including pop-up clinics
Collaborate with senior management and clinical teams to develop robust processes for care home and inpatient vaccination
Project manage activities requiring plan formulation and adjustment, such as care home and in-patient vaccination and pop-up clinics
Build relationships with internal and external stakeholders, including District Nurse teams and Primary Care, to provide support, guidance, and training during vaccination campaigns
Oversee administration and supervision of Immunisation and Vaccination Administration teams
Support the Service Development Manager to ensure staff are trained in all administrative functions, including electronic systems (e.g., WIS)
Ensure Standard Operating Procedures are implemented and adhered to, working with Team Leads to resolve barriers
Monitor expenditure on equipment and resources, including authorising Agency and Bank workers
Ensure infection prevention and control procedures are followed at all times
Maintain contingency and recovery plans for electronic patient system outages
Act as deputy for administrative functions in the absence of the Service Development Manager
Provide support and cross-cover within the department
Ability to travel to vaccination clinics across Powys

Job Responsibilities
Provide operational and project management support to meet Health Board Immunisation and Vaccination strategies and targets
Present complex and sensitive information including incidents, achievements, performance issues and change initiatives where agreement and co-operation will be required, including reassigning staff to meet the needs of the Immunisation service depending on demand
Provide analysis of data including patient activity, financial information, current and projected targets using qualitative and quantitative data
Ensure administration services are aligned to clinical delivery within each Vaccination Centre, ensuring maximum efficiencies of resources to meet National Immunisation & Vaccination priorities and drivers ensuring Powys is responsive to local need
Liaise with NHS Wales organisations such as DHCW to ensure that System Generated Appointment Runs are submitted and processed in a timely manner
Work with Social Care and Third sector partners to ensure that local services effectively meet the identified future healthcare needs of Powys
Work with the Administration Team Lead and clinical lead to produce and implement processes to ensure co-ordinated flow of patients through the Vaccination Centre during vaccination campaigns
Provide support to Administration Team Lead to implement systems to maintain adequate operating stock levels of leaflets and consumables to meet the throughput of patients in each Centre
Coordinate, negotiate and agree resources across the Vaccination service with the Service Development Manager to ensure vaccination services are efficiently operating to required standards, requiring frequent adjustments of plans and refocussing of priorities
Work to support delivery of best-in-Powys health services, integrating service delivery and delivering clear benefits for patients
Build and maintain strong influential relationships with colleagues, Health Board staff and stakeholders
Advise on and produce high quality integrated service planning and improvement information as required, in a timely manner, to support decision making and compliance and organisational and statutory reporting purposes
Build effective, positive relationships internally and externally to ensure the potential for robust service is maximised

Qualifications and/or Knowledge

Degree or demonstrable equivalent experience within Project Management or Business
Postgraduate management qualification or equivalent experience
Knowledge of project management
