Job Summary

This role involves providing comprehensive business and administration support to the Health Improvement Division which includes supporting recruitment, procurement and grants programmes.

As part of this role there will be a requirement to work between 40% and 60% of the time (2-3 days per week) from the Cardiff office. Additional attendance may be required, for example, key meetings, training, events, or to support service delivery. Applicants should ensure they are able to meet this requirement. Office attendance expectations may be reviewed in line with organisational and service needs.

Main Duties of the Job

  • Duties involve organising and servicing meetings and managing enquiries from a range of internal and external stakeholders, which may include confidential information.
  • The successful candidate will be responsible for producing a variety of documents, databases and supporting financial processes such as raising and managing purchase orders and financial monitoring.
  • Experience of working in a business or administrative support post is required, with strong communication skills and the ability to work independently, manage multiple priorities under pressure and use Microsoft Office applications confidently.
  • This is an exciting opportunity to work as part of a Team to provide business and administrative support to the Health Improvement Division.
  • The ability to speak Welsh is desirable for this post; English and/or Welsh speakers are equally welcome to apply.

Person Specification

Qualifications and Knowledge

Essential

  • NVQ Level 4 in Business Administration (or working towards) or equivalent level of knowledge and skills.
  • Knowledge of administrative practices and procedures, including data protection and confidentiality principles.

Desirable

  • Awareness of financial management processes, such as requisitions and invoicing systems (e.g., Oracle).

Experience

Essential

  • Proven experience performing a wide range of administrative and business support duties

Skills and Attributes

Essential

  • Excellent verbal and written communication skills with high attention to detail and accuracy in all tasks.
  • Strong organisational and time management skills, with the ability to prioritise and adapt to changing demands.
