Job Summary
An exciting opportunity has arisen for a Band 4 Project Support Officer on secondment to support the Head of Digital Programmes and team with the successful delivery of digital projects.
The post-holder will work on the development of future modules of TrakCare, the Trust’s EPR solution, and associated digital projects.

Main Duties
The Project Support Officer will provide a high-quality administrative service to the programme team and associated senior staff, using appropriate technologies and equipment. Key responsibilities include:
Updating and creating project documentation in line with PRINCE2 methodologies using Smartsheet.
Ensuring attention to detail and maintaining high standards for all project deliverables.
Confidently communicating with stakeholders, management, and staff through various channels.
Supporting efficient use of new systems and adherence to improved processes.
Training staff on new technologies and converting current practices into process maps.
Developing training materials and delivering user training where required.
Prioritising and self-managing workload to deliver elements of individual projects.
Acting as the first point of contact for the programme, handling queries professionally and calmly.
Other administrative and operational duties include:
Planning and managing work to deliver tasks within the project plan to timescale.
Creating and maintaining action logs to ensure timely completion of identified actions.
Managing diaries, arranging meetings, interviews, and appointments for the Programme Management Team.
Liaising with external suppliers during procurement and project implementation.
Promoting a healthy, safe, and secure working environment for the team.

Person Specification
Qualifications
Essential:
NVQ Level 4 or equivalent experience in Business Administration.
Desirable:
ECDL modules 1-7
PRINCE2 Foundation
Experience
Essential:
Wide-ranging administrative and secretarial experience using computerised systems.
Providing high-level support to senior managers in a corporate environment.
Typing minutes from own or others’ notes/Dictaphone.
Managing change and associated behaviours.
Working within a project environment and PRINCE2 framework.
Advanced keyboard skills.
Desirable:
Creating and delivering training materials.
Facilitating testing and developing testing materials.
Implementing systems for clinical use.
Supporting projects from initiation to post Go-Live.
