Avenues seeks a dedicated and empathetic receptionist to be the first point of contact for patients, embodying values of professionalism, sensitivity, exceptional service and joy.
The Receptionist is responsible for creating a positive first impression by greeting patients warmly, managing front desk operations and ensuring a smooth flow of communication between patients and clinic staff. The ideal candidate will be organised, empathetic and able to handle sensitive information with discretion. Avenues welcomes applicants with experience from luxury hotels and retail who can demonstrate exemplary hospitality at all times.
Key Responsibilities
Patient Interaction
Greet and check in patients with professionalism and warmth.
Assist patients with completing forms and addressing inquiries.
Provide general information about the clinic’s services and policies.
Anticipate the needs of patients and clinic staff when delivering exemplary customer service.
Scheduling and Coordination
Schedule, confirm, and manage patient appointments efficiently.
Coordinate with clinical staff to ensure seamless patient flow.
Handle cancellations and rescheduling as needed.
Administrative Tasks
Answer incoming calls, respond to emails and route messages appropriately.
Maintain and update patient records in the clinic’s system.
Process payments, verify insurance information, and handle billing inquiries.
Clinic Support
Ensure the front desk and waiting areas are organised and stocked with necessary supplies.
Assist with other administrative duties, such as filing and data entry.
Collaborate with team members to support clinic events or initiatives.
Qualifications and Skills
Required
Strong organisational and multitasking skills.
Excellent verbal and written communication skills.
Proficiency with office software (e.g., Microsoft Office, scheduling systems).
Preferred
Familiarity with medical terminology and EMR/EHR systems.
Experience working in a fertility clinic or healthcare setting.
