Role Overview
This role supports the Finance function, primarily assisting the Deputy Chief Financial Officer, Finance leadership team, and Finance Business Manager with administrative tasks.
Responsibilities include proactive administrative support such as drafting correspondence, reports, and presentations; managing calls, travel, meetings, and mail; maintaining files and databases; and working on projects using Microsoft Office. The role operates with minimal supervision and may guide junior staff.
Key Responsibilities
- Provide administrative support to Deputy Chief Financial Officer, Finance leadership team, and Finance Business Manager
- Prepare routine and specialized correspondence, reports, memos, presentations, charts, and graphs
- Manage department databases, generate reports, and handle mail distribution and filing
- Answer, screen, and direct calls, ensuring excellent customer service
- Identify process efficiencies and leverage technology for improvement
- Maintain and prioritize inboxes for leaders, challenging as needed
- Serve as primary contact for key internal and external stakeholders
- Schedule appointments, coordinate meetings/events, arrange travel, and prepare expense reports
- Support budget development, coding, and data compilation
- Assist with data entry, ordering supplies, copying, and miscellaneous tasks
- Manage and track expenses and invoices
- Handle confidential materials and maintain secure files
- Manage departmental projects and conduct research as required
- Support SMCR compliance, collaborating with internal stakeholders such as compliance and People Team
- Perform additional duties as assigned
Must Have Skills
- Significant administrative support experience required
- Strong interpersonal and customer service skills
- Excellent clerical and administrative skills
- Advanced computer skills, including MS Word, Excel, PowerPoint, Teams, databases
- Strong organizational skills with the ability to prioritize and manage multiple tasks and deadlines
- Strong verbal and written communication skills
- Strong attention to detail
- Ability to maintain confidentiality and be discreet
- Proactive, ability to be one step ahead at all times
- Ability to prepare complex PowerPoint presentations for clients/board level
- Strong judgement skills – able to distinguish what is important
- Flexible approach based on demand
