Overview (PT, 5 hrs / day with school hols flexibility):

As an SME, Truedose Technologies Ltd is a young team, enthusiastic and growing at pace as sustainable drinks and equipment are supplied to schools and hospitality. Truedose Technologies Ltd now needs a hands-on, detail-oriented Administration & Customer Service Coordinator to join the team.

This is a M -F 25hrs/week (5hrs/day) role (with school holiday flexibility) and is predominantly an administration/data entry role, but also incudes customer relations, procurement, and stock control/logistics, to ensure smooth day-to-day operations and exceptional service delivery.

The Administration & Customer Service Coordinator will be the go-to administrator for keeping orders moving efficiently, for ensuring that the systems, stock, and invoicing are all in sync from procurement through to customer delivery. Based mainly at the office, but with home work options, this will initially be in Luton but Truedose Technologies Ltd will move to larger premises near Milton Keynes during 2026.

Key Responsibilities

Data Entry, Order & Customer Management

Oversee the processing of customer orders and track dispatched deliveries to ensure safe and timely arrival.

Address and resolve customer queries and complaints (both product- and invoice-related) with professionalism and care.

Create new customer accounts in Xero and update “master” invoices when pricing changes or new products are introduced.

Add and remove product listings in Xero as needed.

Manage multiple supplier portals for invoice uploads, price list/catalogue updates, and more.

Ensure customer satisfaction remains a top priority at every touchpoint.

Procurement & Supplier Coordination

Reorder juice stock and packaging components (boxes, fitments, bags), managing the journey from production and packing to warehouse storage and final dispatch.

Source and order marketing materials to replenish stocks.

Approve supplier bills for payment.

Logistics & Inventory

Create delivery notes, assist with route planning, and occasionally support loading of customer orders.

Conduct quarterly stock checks across two different locations.

Repack damaged goods and rework returned tokens to minimise waste and maximise recovery.

Occasionally send parcels via courier to customers.

Finance & Reporting

Manage Sales Ledger Assistant, responsible for payment reconciliation, managing debt collection, statements and following up with customers.

System & Documentation Management

Maintain and regularly update the operations manual and procurement documentation.

Ensure all system and product data in Xero is current and accurate.

Cross-Departmental Support

Occasionally support the technical department with tasks.

Note on Hours

During term time the role is 5 hrs per day with some flexibility but it should cover the 12-2pm period. Occasionally more hours are available, especially at the beginning of term. As many customers are schools Truedose Technologies Ltd can offer school holiday flexibility such as less hours, more work from home and different timings.

Skills & Requirements

Strong literacy and numeracy skills (English and Maths at a good level).

Evidence of having worked in an administration/office role

Good experience with Microsoft Office (especially Excel, Word, and Outlook).

Knowledge of some accounting software (eg Xero) would be helpful.

Excellent organisational and multitasking abilities.

Confidence working both independently and within a small team.
