Job Summary
An exciting opportunity has arisen for a Band 4 Project Administrator to work for Beyond: The Cheshire and Merseyside Children and Young People’s Transformation Programme.
The primary purpose of this role is to support the team in the successful delivery of the Beyond Programme.
About the Programme
Beyond has been established for over four years and has a core Programme team, along with a wider group of clinical and organisational experts. The team is driving transformational change across the region and working across the system to support quality improvement.
Main Duties of the Job
The Project Administrator will provide professional administrative management of the Beyond Programme, including organisation and coordination of multiple workstreams and support for new programme frameworks.
Key responsibilities include:
- Providing administrative support to the Programme Director and wider team
- Supporting Project Managers and Programme stakeholders across Finance, Business Intelligence, Communications, HR, and clinical teams
- Ensuring programme workstreams are maintained, coordinated, monitored, and accurately reported
- Supporting day-to-day administration of the Programme team
- Supporting the delivery of the CYP Transformation Programme through the PMO
Job Description
Core Responsibilities
- Maintain programme/project documentation, including reports, plans, risk registers, issues logs, and action plans
- Track programme activity, scheduling reporting, maintaining databases, and governance tools
- Support data analysis and presentation of qualitative and quantitative information
- Assist with programme reviews and evaluation activities
- Support PMO-led training and related documentation
- Maintain accurate tracking systems and programme infrastructure documents
- Provide administrative support to task and finish groups and steering groups
- Manage meeting coordination including agendas, minutes, action logs, and follow-ups
- Handle queries via telephone and email professionally and confidentially
- Arrange meetings, travel, and accommodation where required
- Maintain diaries and shared filing systems securely
- Develop stakeholder maps and contact databases
- Liaise professionally with NHS and partner organisation teams
Education and Training
- NVQ Level 3 in a relevant subject OR equivalent qualification OR significant relevant experience
Knowledge and Experience
Essential
- Significant administrative/secretarial experience
- Experience handling confidential and sensitive information
- Strong IT skills (Outlook, Word, Excel, PowerPoint, Access 2010)
- Knowledge of administrative procedures, project management, or data analysis
- Ability to communicate complex information clearly (written and verbal)
- Ability to work independently and manage workloads under tight deadlines
- Understanding of equality, confidentiality, and data protection
Desirable
- Shorthand or live note-taking skills
- Knowledge of project/programme management methods
- Experience supporting project delivery
- Awareness of NHS and health/social care sector issues

Additional Requirements
