Job Summary

The Business Support Officer will provide day-to-day administrative and/or dedicated PA support to the Directorate or senior management team. Key responsibilities include:

  • Maintaining effective working relationships with stakeholders, both internal and external.

  • Working with minimal supervision as part of a multi-disciplinary team providing administrative duties.

  • Collaborating with colleagues based across the country, including remote teams.

Main Duties

Administrative Support

  • Provide comprehensive administrative support across the Directorate, coordinating key business activities.

  • Lead corporate processes, such as updating health and safety risk assessments, reporting sickness absence, and submitting required returns.

  • Engage with stakeholders, responding to enquiries and directing queries appropriately.

  • Organise meetings and events, including agendas, papers, minutes, and action logs.

  • Contribute to efficient systems and procedures across the business support function.

  • Maintain accurate data, perform analysis, and manage databases using digital tools.

  • Support information management, filing systems, and coordination of information dissemination.

  • Manage workload efficiently, meet deadlines, and provide cover for colleagues as needed.

Project Support

  • Assist project teams in the absence of dedicated project support.

  • Maintain project plans, provide management information, and participate in working groups.

  • Respond to information requests and meet tight deadlines, potentially using digital tools such as JIRA.

Financial and Resource Management

  • Support budget management alongside the Finance Business Partner.

  • Oversee orders for goods or stationery using the FARM system, record receipts, and maintain expenditure logs.

  • Assist with monthly and year-end account close-down procedures.

Leadership and Management

  • Act as a visible, competent role model and provide advice, support, and training.

  • Undertake line management responsibilities if applicable, including appraisals, training, induction, and recruitment.

  • Supervise daily activities of the business support team.

Communication and Key Working Relationships

  • Develop effective working relationships and communicate with a wide range of staff including clinical and non-clinical personnel, scientists, managers, and external stakeholders.

Personal and Professional Development

  • Participate in ongoing development and education programs, including annual appraisals, to build knowledge and skills.

Other Responsibilities

  • Adhere to all UKHSA policies and procedures.

  • Contribute to corporate goals and objectives.

  • Support corporate service activities and respond to major incidents as required under the Civil Contingencies Act 2004.

Essential Criteria

  • Clear and concise communication, both oral and written.

  • Significant administrative experience, including developing and maintaining office systems.

  • Experience organising meetings and producing agendas, minutes, and action notes.

  • Ability to work under pressure and prioritise workload.

  • Competence in finance systems and supporting financial analysis.

  • Educated to degree/NVQ Level 6 in Business Administration or equivalent experience.

  • Advanced IT skills, including Word, Excel, Outlook, and PowerPoint.

  • Team player with curiosity and commitment to equality of opportunity.

Desirable Criteria

  • Line management experience.

  • Experience using digital tools such as JIRA.

Location and Working

  • Hybrid working model based at UKHSA HQ in London.

  • Minimum 60% of contractual hours (approx. 3 days/week) at the office.

  • HQ offers modern facilities and co-location with departments such as the Department of Health and Social Care (DHSC).

Security Clearance

  • Successful candidates must pass a Security Clearance (SC) check.

  • Typically requires 5 years UK residency, though exceptions may be considered.
